Regional Administrator — Caribbean



​Regional Development
  • Develop regional case and print copies.
  • Develop regional budget, print copies, collect and file all past budgets and printed budgets in notebook.
  • Assist in strategic planning and goal setting that includes existing staff/areas, future staff/areas, special events/projects, committee leader weekend, training weekends, donor trips and camps.
  • Create regional calendar to include:  goals and dates, relevant divisional and national calendar dates and area calendars.
  • Collect and report necessary statistics to divisional office and print copies.
  • Maintain current staff list including name, contact info, title, island and maintain current volunteer list.

Ministry Support

  • Produce a quarterly newsletter that highlights recent or upcoming events, highlighting a leader, financial update, etc.
  • Summarize and create monthly updates for the division.
  • Review finance (income, expenses and projections).
  • Review donor list and track new giving, donors and follow-up with previous donors.
  • Track correspondence with donors and follow-up with thank you notes and phone calls.
  • Manage expenses in Concur.
  • Send out prayer calendar and updates to prayer team.
  • Review calendar for the month and edit as needed (setup reminders, zoom calls and create agendas for each call).
  • Set up monthly meeting/call with various island contacts to include group and individual calls.
  • Provide summaries for every Zoom call.
  • Review all emails and texts and provide reminders and clarity.

Additional Responsibilities:

  • Create photo file that includes photos of staff, volunteers and events.
  • Collect photos and bios of staff, significant volunteers and committee chairs.
  • Create an island contact list to include name, address, phone number, email, photo and bio (i.e. active volunteer, future volunteer, interested person, island ambassador and friend).
  • Create a list of island prayer warriors and maintain all details.
  • Coordinate all travel and manage all related details (flight reservations, rentals cars, meeting agendas, travel dates and travel assistance).



  • BA or BS preferred with at least three years as an administrative assistant with a large company or large church/ministry involving office management, public contact and research and writing experience.
  • Ongoing education encouraged.

Experience Required for the Job:

  • Three to five years administrator experience with proven knowledge of Young Life culture and policies.
  • Knowledgeable on office management and supervisory techniques; able to plan the work of others.
  • Excellent organizational skills with attention to detail and processes with the capability of handling concurrent tasks and constant interruptions.
  • Strong written and verbal communication skills.
  • Ability to type 75 to 100 wpm with few errors.
  • Demonstrated proficiency in Microsoft Office Suite (including Word, Excel, PowerPoint and Outlook).
  • Ability to maintain confidentiality.
  • Basic accounting skills.
  • Ability to establish effective working relationships with Young Life field staff and offer excellence in customer service to Young Life staff and the public.
  • Proven relational skills with both kids and adults.
  • Great customer service skills.
