Executive Administrative Assistant to the Chief Financial Officer — Colorado Springs, CO


This position will provide excellent administrative assistance to the chief financial officer (CFO), represent Financial Services commitment to serve others with integrity and compassion, execute with excellence, and create solutions through collaborative efforts within the department and across departmental lines, and will exemplify and demonstrate Christ-honoring care and professionalism while representing the mission of Young Life.

  • Provide leadership to the support functions of the Financial Services department.
  • Represent the CFO in a professional and courteous manner in his or her absence.
  • Represent the Financial Services department at events or meetings as requested.
  • Assist the CFO in coordinating and achieving understanding, acceptance and support within Financial Services on various initiatives. 
  • Coordinate every aspect of meetings and events run by or for the CFO.
  • Assist in coordinating all trainings provided by Financial Services department personnel.
  • Train mission personnel, as needed, on various finance-related software (e.g., basic Excel, expense software, etc.).
  • Assist the CFO in the annual budget process to include the following:
    • Schedule interdepartmental budget review meetings.
    • Review submitted budgets for accuracy.
    • Prepare budget summary reports as needed.
  • Assist the CFO in preparation, creation and distribution of materials and scheduling for Financial Services Leadership Team, Investment Committee, Finance Committee, Board of Trustees meetings, and others as needed.
  • Refine, reform and streamline communications and presentations as needed within Financial Services.
  • Take meeting minutes as needed.
  • Administer the weekly publication of Financial Services News.
  • Facilitate hiring processes and onboarding of new departmental staff to include visioning time with CFO.
  • Assess and analyze the revenue and expense reports for CFO direct reports and others as requested.
  • With minimal input, prepare spreadsheets and presentations for the CFO (e.g., Board of Trustees meetings, New Trustee Orientation, Finance Committee, Investment Committee, etc.).
  • Work cooperatively with other departments in the mission on issues related to financial matters.
  • Prepare and submit expense reports for the CFO, self, and others as requested.
  • Serve as an expense approver as requested.
  • Maintain internal Young Life websites and their content for Financial Services in conjunction with the administrative assistant to the vice president of Financial Services.
  • Provide primary phone support for the CFO and others as requested.
  • Maintain office files for immediate retrieval.
  • Provide general administrative assistance to the CFO including answering phones, arranging conference calls, managing calendars, email accounts, correspondence, making travel arrangements, scheduling CPE/CEU, etc.
  • Coordinate and/or complete special projects as needed by the CFO.
  • Be available for travel as required, e.g., leadership retreats.

  • Minimum of a bachelor’s degree.

Experience Required for the Job

  • Must successfully work with minimal supervision.
  • Demonstrate excellence in communication skills, both written and verbal.
  • Previous high-level executive administrative assistant experience.
  • Excellent grammar, editing and proofreading skills.
  • Strong organizational skills.
  • Ability to take concise and accurate meeting minutes.
  • Professional and pleasant phone presence.
  • Maintain absolute confidentiality.
  • Demonstrate advanced proficiency in Microsoft Office Suite, Excel and PowerPoint.
  • Strong organizational skills.

  • Strong interpersonal skills.
  • Previous Young Life field experience a plus.
  • Training experience a plus.
