Area Administrator — Longview, WA (Part-Time)

Description:

Seeking a communications and administration director to help assist our current ministries of YoungLives, WyldLife and Young Life.

Responsibilities:

Written and Verbal Communication

  • Answer correspondence in a timely and professional manner.
  • Compile newsletter content.
  • Prepare newsletters/mailings and manage contact lists.
  • Send prayer emails and monthly updates.
  • Develop and maintain an area website.
  • Send thank-you notes to donors.
  • Interact with the area executive committee, ministry developer, direct ministry staff, the booster team leaders, and area event coordinators.

Administration

  • Process and track donations.
  • Maintain leader databases, ensuring that leader forms, driver questionnaires and criminal background checks are up-to-date.
  • Manage monthly expenses and budgets.
  • Complete CMI requirements.
  • Maintain contact databases including the following:
    • Update the area donor database on a regular basis.
    • Enter club kid/family information into YL Connect.
    • Maintain newsletter recipient list.
    • Maintain banquet invitation list.
    • Update email distribution lists: club kids, Campaigners, parents, committee, booster teams, and leaders.

Human Resource for Regional Administrators

  • Track and report vacation, sick and personal days for eligible area staff.
  • Submit timesheets for hourly staff.
  • Complete Personnel Action Requests and required documents to hire or terminate area staff and forward to region for approval.

Event Administration

Camp

  • Track participation, payments, health forms and how much each kid has earned in fundraisers.
  • Send letters to parents about camp sign-ups, itineraries and health forms.
  • Responsible for fundraiser marketing.
  • Construct and distribute camp brochures.
  • Communicate with camp regarding camp contracts, R2 deposits, A-forms, housing request forms and 10-day call-ins.
  • Coordinate camp transportation.
  • Coordinate camp send-offs.
  • Fundraising.

Events

  • Assist area event coordinators with:
    • Creating invitations, banquet sponsor packet, table host packet, banquet program and donor cards.
    • Tracking guest list, table sponsors, RSVP list and donations received from the banquet.
    • Coordinate with table hosts about their invitation lists.
    • Email save-the-dates and mail invitations.
    • Send thank you notes to banquet donors.

Other Ministry Functions

  • Develop a yearly personal growth plan that fosters a healthy and vibrant spiritual life.
  • Actively participate in the spiritual life of the Young Life community.
  • Meet with area leadership on a regular basis.
  • Model excellence in organizational and communication skills.
  • Partner with the committee to raise funds and care for donors.
  • Partner with staff and committee to set a yearly strategic ministry plan and initiatives to reach every kid; review on a regular basis.
  • Perform other duties as assigned and congruent with gifts, experience and area needs.

Training

  • Participate in mandatory regional events/trainings.
  • Complete training run by the regional administrator.
  • Set personal training plan based on identified areas of growth needed.
  • Track completed training for staff and volunteer leaders.

Qualifications:

Education
  • High school diploma or its equivalent required.
  • Ongoing education or professional development expected.
Experience Required for the Job
  • Strong organizational skills with attention to detail.
  • Good grammar skills and strong written and verbal communication skills.
  • Ability to maintain confidentiality.
  • Growing proficiency with all Young Life applications such as CMI, YL Connect, ministry website, Concur, Cash Flow, etc.
  • Basic accounting skills.
  • Detail-oriented, multi-tasking ability.
  • Proven relational skills with both kids and adults.
  • Initiative with developing processes/systems around events — data organization and maintenance.
  • Great customer service skills.
Working Conditions
  • May work from home.
  • If there is an office provided for staff, then may set certain office hours in agreement with regional supervision and the area executive committee.
